Privacy policy

This policy explains what personal information Hyndman Plumbing & Heating collects, why it’s collected, how it’s used and what your rights are.

Who I am

Hyndman Plumbing & Heating is a sole trader business operated by Finley Hyndman, providing plumbing services across Teesside and the surrounding areas. For the purposes of UK data protection law, I am the “data controller” for the information described below.

You can contact me about anything in this policy by phone, text or WhatsApp on 07487 213402.

What this website collects

This website does not have contact forms, accounts, logins or tracking cookies. It does not collect your personal information directly.

Two things are worth knowing:

  • Web fonts. The site loads fonts from Google Fonts. When your browser requests a font, your IP address is sent to Google. See Google’s own privacy policy for details of how they handle that.
  • Hosting logs. The company hosting this website may keep standard server logs (IP address, browser type, pages requested, date and time) for security and performance purposes. I do not use these to identify individuals.

Information I collect when you get in touch

When you contact me about a job — by phone, text or WhatsApp — I will normally collect and keep:

  • Your name
  • Your phone number and/or email address
  • The address where the work is to be carried out
  • Details and photographs of the plumbing problem or job
  • Records of the work carried out, parts fitted and payments made

Why I use it, and my lawful basis

  • To quote for and carry out work — because it is necessary to take steps at your request before entering a contract, and to perform that contract.
  • To contact you about your job — arranging appointments, confirming prices, following up on completed work.
  • To keep business and tax records — because I am under a legal obligation to keep accounting records.
  • To deal with any complaint, warranty issue or insurance matter — on the basis of my legitimate interest in defending and evidencing the work I have carried out.

I do not use your information for marketing unless you have asked me to, and I never sell or rent your details to anyone.

Who your information is shared with

Your details are not shared with third parties except where it is necessary to deliver the service or where I am required to by law. That may include:

  • My accountant or bookkeeper, for tax and accounting purposes
  • Suppliers or merchants, where a part needs to be ordered or a manufacturer warranty claim raised
  • My insurer or legal advisers, if a claim or dispute arises
  • HMRC or another authority where there is a legal obligation to disclose

Messages sent by WhatsApp are also stored on the systems of that provider (Meta), which operates under its own privacy policy.

How long it is kept

Job records, invoices and related correspondence are kept for a minimum of six years from the end of the relevant tax year, in line with HMRC record-keeping requirements. Enquiries that do not lead to work are deleted within around 12 months. Photographs are deleted once they are no longer needed, unless you have given permission for them to be used as examples of my work.

How it is kept secure

Information is held on password-protected, up-to-date devices and reputable cloud services. Access is limited to me. Paper notes are stored securely and destroyed once transferred to my records.

Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the personal information I hold about you
  • Ask me to correct anything that is inaccurate or incomplete
  • Ask me to delete information where there is no longer a good reason to keep it
  • Object to, or ask me to restrict, certain processing
  • Ask for your information in a portable format
  • Withdraw consent at any time, where consent was the basis for processing

To exercise any of these rights, call or text 07487 213402. I will respond within one month. Some information may need to be retained where there is a legal obligation to keep it — if that applies I will explain why.

Complaints

If you are unhappy with how I have handled your information, please contact me first so I can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
